Check if you're ready for a digital transfer

This interactive tool helps you prepare for a transfer of digital information and records (digital records) to Te Rua Mahara o te Kāwanatanga Archives New Zealand, in line with the Public Records Act 2005.

We'll ask you questions about disposal, sentencing and preparing your digital records for transfer to us.

Preparing your records for transfer

This section is about working with us to prepare your digital records for transfer.

To be suitable for transfer, you need to identify the file formats of your digital records. You should also remove any duplicates or empty folders.

Contact us for guidance on carrying out a digital health check. You can also read our File formats for digital transfers guidance to learn more about why we accept all file formats for transfer.

A digital transfer management plan agreement helps us and your organisation to understand key aspects of the process. It’ll also help both of us stay informed about factors which might affect the transfer at any stage.

Contact us to work on a digital transfer management plan together. You can also read our Transfer process guidance to learn more about what happens during the whole transfer process.

So we can determine whether a full digital transfer is feasible, your organisation needs to prepare an initial discrete set of open access eligible digital records and their metadata that can be used for a test digital transfer.

Contact us for more information about how to prepare a test set of digital records for us to analyse before transfer.

We will not accept digital records for transfer without their associated metadata.

Contact us for more information about copying or extracting files and metadata for transfer. You can also read our Minimum requirements for metadata guidance to learn more about what's needed to meet the requirements of the Information and records management standard.

Note that at the transfer preparation stage, we only require a reliable copy of the digital records and metadata for pre-transfer testing purposes.
